Before you begin
Check the active company, reporting period and your permissions. Feature availability depends on your plan, company type, workspace mode and installed version. Use a test company to practise; an example in this manual does not create a separate test environment.
Where gives the navigation path inside the product. Follow numbered steps in order; bold labels identify controls or fields. A preview or draft is not a posted voucher: complete the confirmation step, then check the result in the relevant register or report. Before retrying an interrupted action, check what has already completed.
Last updated: 19 October 2026. Instructions are checked against the application screens and code; availability can vary by installation. Product screenshots use the test company Beylesys Technologies.
1. Getting started
1.1 Create your account
- Open Beyle Lekka and choose the registration option.
- Enter your name, email, password, and password confirmation, then select Continue. Alternatively, use Continue with Google.
- For email registration, enter the six-digit code sent to your email and select Verify. If it does not arrive, wait for the resend countdown and select Resend code. Correct an incorrect email using the back action before requesting another code.
- Choose the account type that describes your work: a business account or CA Pro for managing a CA practice.
- Continue through setup and review your details before finishing.
If someone invited you to a company or CA firm, open their invitation first and follow the acceptance process instead of creating a duplicate workspace.
1.2 Set up your business
- Select the business plan offered during setup.
- Enter your business name and select Services, Trading, or Manufacturing.
- Select the industry and Constitution of Business that apply to you.
- Enter your state, PAN, GST registration status, and GSTIN where applicable.
- Complete any additional fields for your entity, such as LLP, trust, or co-operative details.
- Add your address, contact information, and bank accounts.
- Set the Books Start Date and primary bank account.
- Review the information and finish setup.
Result: You have a company workspace with the accounting setup appropriate to the information you supplied.
1.3 Prepare for your first transaction
- Check the company name shown in the application header.
- Review Settings > Company Profile and your bank details.
- Add customers and suppliers in Masters.
- If you sell or purchase stock, set up units, warehouses, and items in Inventory.
- Enter or import opening balances if you are moving existing books into Beyle Lekka.
- Record one transaction and verify it in Ledger before entering a large batch.
1.4 Sign in or reset your password
- Sign in using the email or Google account associated with your workspace.
- If you forgot an email/password login, select Forgot Password.
- Follow the reset instructions sent to your email.
- Set the new password and sign in again.
1.5 Recover an interrupted registration
- Return to the registration or setup screen using the same account.
- Check whether you need to finish email verification or business setup.
- In the verification screen, enter or paste the requested code; use Resend if the code is expired or missing.
- Use Back to correct the registration details when that action is offered.
- Finish the remaining setup and check whether a workspace already exists before creating another.
1.6 Choose the right setup for your entity
- Select the actual constitution of the business, not merely its trading activity.
- Complete the conditional fields shown for that constitution.
- For LLPs, review LLP identification and designated-partner details where requested.
- For non-profits, review organisation type and the displayed FCRA, 12A/12AB, and 80G registration fields.
- For co-operatives, review registration law, state, subtype, co-operative-bank status, and share-capital information.
- Review the resulting reports and accounts after setup. These choices affect the entity-specific navigation and reporting labels.
2. Plans, subscriptions, and AI credits
2.1 Understand the plans
| Plan or access type | Who it is for | How it is organised |
|---|---|---|
| Basic | An owner managing one business | One user and one business; team members are not included. |
| Plus | A team working on one business | Multiple users in one business workspace, within the purchased plan's limits. |
| Max | A team managing several businesses | Multiple users and multiple business workspaces, within the purchased plan's limits. |
| CA Pro | A CA practice managing clients | A CA organisation with clients, firm staff, assignments, and statutory workflows. |
| Advisor access | A CA invited to work on an existing business | Access to invited or assigned workspaces. This is an access arrangement, not a Basic/Plus/Max business tier. |
The plan selection screen shows the available monthly or yearly offerings, price, AI budget, company limit, and team limit. Use those displayed values when choosing: this guide does not promise a fixed price, trial duration, or quota.
Simple and Pro are display modes. They are separate from your paid plan. Switching to Pro does not purchase an upgrade or grant additional permissions.
2.2 Use Basic
- Complete setup for your single business.
- Open the workspace and use the accounting features available to your account.
- Manage your subscription through Settings > Billing.
- If you need colleagues to join, use the available upgrade to Plus or Max before inviting them.
2.3 Use Plus
- Complete setup for your business.
- Open Settings > Team.
- Invite colleagues and choose their roles.
- Use Settings > Permissions for additional delegated responsibilities.
- Keep team membership within the limit shown in your subscription.
2.4 Use Max
- Open My Companies.
- Add each business as its own workspace.
- Complete the company setup for each one.
- Open the required company before posting entries or inviting its team.
- Use the company dashboard or workspace switcher to move between businesses.
Each company's books are separate. Always check the active company before uploading, importing, or posting.
2.5 Use CA Pro
- Set up your CA organisation.
- Review the subscription available for the organisation.
- Add or connect client workspaces.
- Invite firm staff and assign them to the clients they should work on.
- Open each client from the CA Portal to carry out permitted accounting or compliance work.
See CA Portal and firm management for the full workflow.
2.6 Start a subscription
- Open Settings > Billing, or the billing area for your CA organisation.
- Open the available plans.
- Choose monthly or yearly billing from the options shown.
- Compare the price, AI budget, and capacity limits.
- Review the subscription summary and proceed through Razorpay checkout.
- Wait for payment and mandate confirmation, then check the subscription status.
If a trial is shown, check its expiry in the application. A checkout in progress is not the same as an active subscription.
2.7 Upgrade your plan
- Open Billing and select the upgrade action.
- Choose an eligible higher plan.
- Review the amount due, any unused subscription credit, and renewal details.
- Select Confirm upgrade and complete payment.
- Wait for the confirmed plan to appear before using its increased limits.
The current upgrade screen supports upgrades; it does not offer plan downgrades. It also instructs users changing between monthly and yearly billing to cancel renewal and subscribe to the new interval after the current period ends.
If an unpaid upgrade is still pending and you no longer want it, use Discard unpaid upgrade where displayed.
2.8 Manage renewal
- Open Billing and review the current subscription and next renewal.
- Select the cancellation or auto-pay cancellation action if you want renewal to stop.
- Read the effective date and access information in the confirmation dialog.
- Confirm and check the updated status.
Cancelling renewal and deleting your account are separate actions.
2.9 View AI usage and add credits
- Open Settings > Usage to inspect usage for a selected date range.
- Open Billing to check your AI budget or available credit balance.
- If top-ups are offered, open the top-up dialog.
- Choose a displayed amount or enter an allowed custom amount.
- Complete checkout and wait for the confirmed balance update.
On desktop, a confirmed cloud payment may appear locally after sync finishes. Check billing status before attempting the same payment again.
2.10 Review billing history
- Open Billing.
- Select Payments, Topped-up, Granted, or Refunds.
- Review the date, amount, status, and payment reference shown for the transaction.
- Use these details when asking for help with a payment.
2.11 Recover a pending or abandoned checkout
- Open Billing and refresh the subscription or payment status.
- If checkout is pending, review the existing checkout message before starting another purchase.
- Resume the offered checkout if you still want it, or use Discard checkout where displayed to abandon the unpaid attempt.
- For an upgrade, use Discard unpaid upgrade when that is the action shown.
- If payment has already been confirmed, wait for the resulting subscription or credit update rather than paying again.
2.12 Resolve an access or budget message
| Message | Next action |
|---|---|
| Trial ended | Open the offered subscription workflow and choose an available plan. |
| Trial AI budget used up | Review the plan options to continue AI use. |
| Plan AI budget reached | Review usage and choose Add Usage Credits or an eligible upgrade where offered. |
| Payment required | Select Fix Payment or View Billing, resolve the payment issue, and refresh the status. |
| Subscription ended | Select Resubscribe and complete a new subscription. |
| Company or staff limit reached | Review the current count and purchased limit, then choose an eligible upgrade or resolve unneeded memberships through the normal management workflow. |
An added usage-credit balance does not itself upgrade the company or staff limit. For a shared workspace, the owner or firm administrator may need to handle billing.
2.13 Understand subscription status and scheduled changes
- Open Billing and read the status, coverage dates, and any scheduled-change notice together.
- Auto-pay off means renewal is disabled; use the displayed period end to determine the remaining coverage.
- Past Due indicates a payment problem; review the payment action rather than assuming access has renewed.
- If an existing scheduled change offers Keep current plan, review the target and date before using it.
- Refresh after cancelling that schedule. Desktop may show a cloud-confirmed change while local details are still syncing.
2.14 Separate account billing from company settings
- For a multi-company business, open the account-level settings to review the shared business plan and billing.
- Open an individual company's settings to manage that company's profile, team, and documents.
- For CA Pro, select the correct firm before opening its Billing or Usage tab.
- Check the billing subject shown before paying or changing a plan.
4. Companies and workspaces
4.1 Add another company
Available to: Accounts permitted to create more companies, subject to plan limits.
- Open My Companies or Add New Company.
- Start the company setup.
- Enter the new company's own business, tax, contact, and bank details.
- Review and finish setup.
- Open the new company and confirm its name before recording anything.
4.2 Switch companies
- Open the workspace switcher or My Companies.
- Select the company you want to work on.
- Check its name in the header.
- Confirm the report dates or transaction dates before continuing.
4.3 Accept a shared workspace
- Open the invitation email or workspace join link supplied by an owner.
- Sign in or complete the account creation requested by the invitation screen.
- Review the workspace and offered role.
- Accept the invitation.
- Open the shared company from the workspace list.
4.4 Search, open, and manage companies from the dashboard
- Open My Companies and use the available search or view-all control to find the workspace.
- Review its role and status badge.
- Select Open, the company card, or its available keyboard activation to enter it.
- Use the card's staff or settings action to manage that specific company.
- Refresh the list after accepting an invitation or changing membership.
4.5 Leave a shared company
- Open My Companies and locate the shared workspace.
- Select its Leave action if available.
- Review the confirmation and any ownership restriction.
- Confirm only if you intend to remove your own access.
- Check that the workspace is no longer available to you. Leaving is different from deleting the company's books.
4.6 Update the shared business-account name
- Open multi-company account settings.
- Select the profile tab.
- Edit Business Account Name and select Save Changes.
- Check the account identity after saving. Individual company names are managed in each company's profile.
4.7 Delete one workspace
- Open the intended company's Company Profile and locate its deletion section.
- Start the workspace deletion dialog and identify the workspace as requested.
- Complete the required identity verification.
- Review the impact preview and every available preservation, transfer, or deletion choice.
- Resolve required ownership or transfer conditions, export the records you need, and refresh the impact preview if asked.
- Read whether this operation is immediate or has a restore window before confirming.
- Check the result page. Do not assume account-level restoration can recover a workspace deleted immediately.
5. Dashboard
5.1 Review your business position
Where: Dashboard.
- Select the period you want to review.
- Inspect income and expenses, cash movement, and the profit-and-loss trend.
- Review receivable and payable ageing to identify unpaid customer and supplier balances.
- Check customer, vendor, spending, and expense breakdown cards.
- Follow available task or quick-action links to work on the underlying records.
Cards depend on your data and workspace. A blank card can mean that no relevant transactions exist for the selected period.
5.2 Use AI insights
- Open the dashboard's AI insight area where available.
- Read the explanation for the selected business period.
- Check significant figures against the corresponding report or ledger.
- Use the insight to decide which records need attention.
6. AI Capture and voice entry
6.1 Record a transaction by typing
Where: AI Capture, using the AI prompt bar.
- Describe the transaction, including its date, party, amount, payment method, and invoice reference when relevant.
- Send the message.
- Answer any questions about the party, item, account, invoice, or tax treatment.
- Review the proposed document or voucher, including accounts, amounts, and taxes.
- Correct any details before confirming.
- Select Confirm & Save (or Save This in Simple mode), then verify the posted entry in Ledger.
Example: “Paid office electricity bill of Rs 2,400 from HDFC Bank on 4 October 2026.”
Result: The reviewed transaction is posted after confirmation. A preview is a draft, not proof that posting has completed.
6.2 Record a sale
- Describe the customer, items or service, quantity, price, date, and payment terms.
- Include the invoice reference and tax details you want applied.
- Select the correct customer and items if the app asks you to choose.
- Review the sales document, tax breakdown, and receivable or payment account.
- Confirm and check the resulting document and ledger entry.
Example: “Create a credit sale to Sunrise Stores for 5 desk lamps at Rs 800 each, invoice SL-104, dated 4 October 2026.” Add the applicable tax information to your request.
6.3 Record a purchase or expense
- Enter the supplier, bill date, bill number, and goods or expense purchased.
- State whether it is unpaid, paid through a bank, or paid in cash.
- Provide item quantities for stock purchases.
- Review supplier matching, expense or inventory accounts, tax, and total.
- Confirm the correct preview.
6.4 Record receipts, payments, and advances
- Say whether money was received or paid.
- Identify the party and cash or bank account.
- Include the amount, date, and invoice being settled, if any.
- State explicitly if the amount is a partial settlement or an advance.
- Review the allocation and confirm.
Examples: “Received Rs 5,000 from Sunrise Stores into HDFC Bank against invoice SL-104” or “Paid an advance of Rs 3,000 to Kumar Supplies from HDFC Bank.”
6.5 Record sales or purchase returns
- Describe the returned items, quantities, party, and original invoice number.
- Select the original invoice when prompted.
- Check that the return direction is correct: a customer return normally uses a credit note; a return to a supplier normally uses a debit note.
- Review the amounts, taxes, and stock effect shown.
- Confirm the return document.
6.6 Use voice input
- Select Auto, English, Hindi, or Kannada from the input-language options as appropriate.
- Select the microphone and allow microphone access if asked.
- Speak the transaction clearly and stop recording.
- Wait for transcription. Recognised speech is sent to the conversation automatically; you do not get a separate review-before-send step.
- Check the recognised request and resulting draft, particularly names, dates, and amounts. Send corrections in the same conversation before confirming.
- Continue through clarification, preview, and confirmation as with typed entry. Voice transcription does not itself confirm the voucher.
If recording or transcription fails, check microphone access and type the transaction instead. Check the conversation before repeating a spoken request that may already have been submitted.
6.7 Answer clarification questions
- Read the specific question shown in the conversation.
- Choose the matching account, item, or invoice from the offered options, or supply the missing detail.
- Continue in the same conversation until the preview is ready.
- Check the final preview after all clarifications have been applied.
6.8 Revisit a conversation
- Open the chat-history control where available.
- Select the relevant conversation.
- Review its messages and generated previews.
- Check the ledger or posting status before confirming an old preview again.
6.9 Start a new conversation or remove old chat history
- Open chat history and search for a conversation if needed.
- Use the new-session action to start a separate capture conversation.
- Open an older conversation to inspect its content; load more history where offered.
- Use the conversation's delete action only for history you intend to remove.
- Check accounting records separately: deleting chat history is not a voucher-reversal workflow.
6.10 Correct a draft or regenerate an expired preview
- Open the draft and use its editor or reply with the correction requested by the conversation.
- Review the revised party, account, quantity, price, and date.
- Generate a fresh preview after edits.
- If the app reports that the preview expired, regenerate it rather than trying to confirm the old version.
- Confirm the current preview once and verify the posted result.
6.11 Resolve a document-type mismatch
- Read the mismatch dialog when the detected document type differs from your upload selection.
- Compare the suggested type with the actual document.
- Choose the suggested type or keep the selected type using the offered actions.
- If the dialog offers manual entry and the document cannot be classified reliably, use that path.
- Review the resulting extraction and accounting preview before saving.
6.12 Complete party information during capture
- Open the party-completion form when capture requests missing details.
- Check that it refers to the correct customer or supplier.
- Enter the missing identification, address, or tax details requested.
- Save and continue the transaction preview.
- Check the resulting document uses the intended party information.
6.13 Use expense and asset upload choices
- Open the prompt bar's upload menu.
- Select the relevant document, expense, or asset choice offered there.
- Choose the source file and wait for processing.
- Review the detected intent and resolve any mismatch.
- Confirm the accounting preview. For fixed assets, also review the separate asset/depreciation setup; do not assume uploading a purchase invoice completes every depreciation field.
7. Documents and document capture
7.1 Upload a bill or invoice
Where: The Upload document control in the AI prompt bar or the document-upload area offered by the application.
- Select a clear bill or invoice in a file format accepted by the picker.
- Wait for the upload and extraction to finish.
- Review the extracted party, document type, date, number, line items, taxes, and total.
- Answer any request for more detail.
- Review the accounting preview and confirm only when it is correct.
- Check that the result is Posted and verify it in Ledger.
Uploading a document and posting its accounting entry are separate steps.
7.2 Handle an unclear or duplicate document
- Check whether the same invoice already exists in Documents or Ledger.
- If the file is unreadable, use a clearer scan or an export from the source system.
- Correct extraction details or answer the requested clarification.
- If your upload screen offers re-extraction, use it only when you intentionally need a new extraction of the same source.
- Check the existing posting before confirming another entry.
7.3 Browse and download documents
Where: Documents.
- Open the document list.
- Filter by the required type, such as purchase invoice, sales invoice, receipt, payment voucher, stock invoice, or journal.
- Open the relevant record.
- Use Download or Open in new tab where available.
7.4 Review and edit a generated document
- Open the document preview or editor from the transaction workflow.
- Check the company and party details, line items, document date, number, and totals.
- Update editable fields offered by that screen.
- Review the revised document and finish the save or confirmation action.
- Download or print using the available document controls.
For a posted accounting correction, use the permitted voucher workflow and check its ledger effect; changing a document's appearance is not a substitute for correcting the books.
7.5 Choose a supported capture file and follow upload progress
- In the general document picker, choose one of the offered formats: PDF, JPG/JPEG, PNG, HEIC, WebP, TIFF, GIF, BMP, TXT, or CSV.
- Supply a readable document with the relevant pages and totals visible.
- Watch the upload/progress panel and wait for processing to complete.
- Read a failure message before retrying; an accepted extension does not guarantee the content can be extracted.
- Review the extraction card, including the suggested document type, before continuing to the accounting preview.
7.6 Apply suggested defaults in a document or voucher editor
- Inspect the suggested defaults displayed for the draft.
- Apply a single suggestion when only that field is appropriate.
- Use Apply All only after checking all suggestions.
- Add or remove item lines if the editor offers those actions.
- Generate the updated preview and confirm the current totals.
8. Manual vouchers
Where: Manual Mode, then the voucher type you need.
Before saving any voucher, confirm the company, date, accounts, amounts, and narration. Complete any preview or confirmation step shown by the form.
8.1 Sales voucher
Use this for a sale to a customer.
- Open Sales.
- Enter the date, customer, and invoice details.
- Add the applicable goods or service lines, quantities, rates, and tax details.
- Review totals and whether the amount is due from the customer or already settled.
- Save and check the sales record.
8.2 Purchase voucher
Use this for a supplier bill.
- Open Purchase.
- Enter the supplier, bill number, and bill date.
- Add purchase lines and select the appropriate accounts or stock items.
- Review tax treatment and the amount payable.
- Save and check the purchase record.
8.3 Payment voucher
Use this when money leaves cash or a bank account.
- Open Payment and enter Payee and the voucher date.
- Select Debit Account (Payee / Expense) for the supplier, expense, or other account being paid.
- Select Credit Account (Bank / Cash) for the account paying the money. The two accounts must be different.
- Enter a positive Amount and a clear Narration. For TDS, use the calculator described in Record and review TDS before previewing.
- Select Preview (Ctrl+A) and inspect the accounting lines. Select Cancel Preview to return to editing if necessary.
- Select Confirm (Ctrl+A) once the preview is correct. Wait for Payment voucher saved successfully, then verify the entry in Day Book or Ledger.
8.4 Receipt voucher
Use this when money enters cash or a bank account.
- Open Receipt.
- Enter the date and receiving cash or bank account.
- Select the customer or other source of money.
- Enter the amount and reference; allocate to outstanding invoices where offered.
- Review and save.
8.5 Contra voucher
Use this for movement between your own cash and bank accounts.
- Open Contra.
- Select the source and destination accounts.
- Enter the transfer date, amount, and reference.
- Check the direction of the transfer.
- Save and verify both account movements.
8.6 Journal voucher
Use this for adjustments that require direct debit and credit lines.
- Open Journal.
- Enter the date and a clear narration.
- Add the accounts and debit or credit amount for each line.
- Check that total debits equal total credits.
- Review and save the journal.
8.7 Credit note
Use this for a reduction to a customer invoice, such as a sales return.
- Open Credit Note.
- Select the customer and original invoice where required.
- Enter the returned items or adjustment amounts and reason.
- Review taxes and the reduction to the customer's balance.
- Save and check the linked records.
8.8 Debit note
Use this for a reduction to a supplier bill, such as a purchase return.
- Open Debit Note.
- Select the supplier and original bill where required.
- Enter the returned items or adjustment amounts and reason.
- Review taxes and the supplier balance adjustment.
- Save and check the linked records.
8.9 Stock journal
Use this form for a stock transfer between two warehouses.
- Open Stock Journal.
- Enter the date, Source Warehouse, Destination Warehouse, and narration. Source and destination must be different.
- Add at least one item with a positive quantity and review its rate and value.
- Select Preview (Ctrl+A) and check the source, destination, item quantities, and accounting lines in the Preview Snapshot.
- Select Confirm (Ctrl+A), wait for the saved result, and verify the movement in Inventory and the accounting entry in Ledger.
Use Inventory > Adjustments for a stock-count correction. For a transfer requiring separate dispatch and receipt stages, use Inventory > Transfers.
8.10 Allocate against outstanding invoices
- Open the allocation control in a payment or receipt workflow where offered.
- Select the invoice or bill being settled.
- Enter the amount allocated to each document.
- Check that the allocation agrees with the payment or receipt amount.
- Confirm the allocation and finish saving the voucher.
8.11 Copy or reverse a voucher
- Open the existing entry and choose the available copy or reverse action.
- For a copy, update the date, reference, and amounts for the new transaction.
- For a reversal, review the reversing lines and enter the requested reason or date.
- Confirm and check the new entry in the ledger.
Copying creates another transaction. A reversal offsets an existing transaction and should be checked together with the original.
8.12 Use keyboard shortcuts
Use these in the supported Manual Mode screens. Open keyboard help to see what applies to your current form.
| Shortcut | Action |
|---|---|
| F4 | Contra |
| F5 | Payment |
| F6 | Receipt |
| F7 | Journal |

| F9 | Purchase |
| Ctrl+A | Preview the voucher; when a preview is open, confirm it |
| Alt+C | Create a master from a supported field |
| Enter | Move to the next field |
| Ctrl+I | Insert a line |
| Ctrl+D | Delete a line |
| Esc | Cancel or leave the current action |

8.13 Calculate GST and apply it to trade-voucher lines
- Enter the party, GSTIN, item descriptions, and HSN/SAC details in the trade voucher.
- Review quantity, rate, discount, and GST percentage for each line.
- Select Calculate GST.
- Inspect the calculated tax breakdown.
- Select Apply GST to apply the calculated GST to the lines if correct.
- Recheck CGST, SGST, IGST, and the total before previewing and saving.
8.14 Review HSN/SAC suggestions
- Focus the HSN/SAC field in a supported transaction form.
- Search or enter the classification and inspect the offered suggestion.
- Select or apply the classification relevant to that line.
- Check the resulting tax information separately before posting.
8.15 Suggest and apply round-off
- Finish the item and tax details in the trade voucher.
- Select Suggest Round-off.
- Review the suggested amount and final total.
- Select Apply Round-off if the suggested amount agrees with the source invoice; verify the Round-off applied indicator.
- Generate the final preview and save.
8.16 Save through preview and confirmation
- Complete the voucher form and select Preview (Ctrl+A) on forms with this control.
- Inspect the proposed accounting lines and warnings.
- If changes are needed, use Cancel Preview, correct the form, and generate a new preview.
- Select Confirm (Ctrl+A) for the checked preview and wait for the success message.
- Verify the saved voucher in Day Book or Ledger. A successful preview alone is not a posted voucher. If confirmation fails or its result is uncertain, inspect the ledger before creating a replacement.
8.17 Print and inspect voucher provenance
- Open the saved voucher or its detail from the ledger or Day Book.
- Use the print action where provided and review the print template.
- Open the provenance control to inspect source and linked information.
- Check company, date, voucher number, and totals before printing or sharing.
9. Bulk entry, recurring vouchers, and registers
9.1 Enter transactions in bulk
Where: Manual Mode > Bulk Entry.
- Open the bulk-entry grid.
- Enter the required transaction details across the rows.
- Complete the accounts, dates, narration, and debit or credit values required by the grid.
- Review row-level validation messages and correct invalid entries.
- Select Preview All, inspect the row results, and resolve any errors.
- Select Confirm All when the rows are ready, then check the posted counts and resulting records in Registers or Ledger.
9.2 Create recurring voucher templates
Where: Manual Mode > Recurring.
- Choose Create Recurring Template.
- Enter a name and choose the voucher type.
- Select the frequency and start date; set an end date if needed.
- Add the narration and balanced account lines.
- Save the template.
- Use Generate Drafts for the next number of drafts or up to a chosen date.
- Review generated drafts and any warnings before using their available posting actions.
Generating drafts is not confirmation that those transactions are posted. Edit or delete a template through its available controls when the recurring transaction changes.
9.3 Browse voucher registers
Where: Manual Mode > Registers.
- Select the register you need.
- Set the available date and search filters.
- Open the required voucher to inspect its details.
- Use permitted actions for further review or correction.
9.4 Use Manual Reports and Day Book
- Open Manual Reports.
- Select a report available for the workspace.
- For a chronological transaction view, open Day Book.
- Set the date range and review the listed vouchers.
- Open an entry or use export controls where offered.
9.5 Recover partial bulk-entry results
- Inspect the status of every bulk row: previewing, previewed, posting, posted, or an error.
- Read the row's validation or confirmation error.
- Check Ledger for uncertain results before retrying.
- Correct failed rows and regenerate their previews.
- Confirm the remaining valid work and reconcile the posted count with the source batch.
9.6 Confirm recurring drafts and recover a schedule warning
- Generate recurring drafts for the intended dates.
- Inspect each draft's due date, type, narration, and warnings.
- Use Confirm All for the confirmable drafts when ready.
- If the app says vouchers posted but the schedule was not advanced, do not generate and post those dates again.
- Select Retry Advance in the warning to advance the recurring schedule, then check Next Due.
- Verify the posted vouchers and schedule independently. Dismissing the warning does not itself repair the schedule.
9.7 Maintain a recurring template
- Open the template's edit action.
- Update its name, frequency, dates, narration, or account lines as required.
- Save and review the next due date before generating again.
- If the template is no longer required, use its delete action and confirmation.
- Existing posted vouchers should be reviewed or corrected through the normal voucher workflow.
9.8 Understand the register and report shortcuts
| Shortcut | What it opens |
|---|---|
| Registers > Day Book | Chronological voucher details with debit and credit lines. |
| Registers > Ledger | Ledger and account navigation. |
| Registers > Stock Register | Inventory workspace and stock navigation. |
| Manual Reports financial and GST cards | The Reports area; choose the appropriate tab and dates after opening it. |
| Manual Reports Stock Summary or ageing cards | A report-area shortcut; use the dedicated Inventory, Dashboard, or export section when the required report is not a separate visible tab. |
The shortcut title does not mean the report has already been filtered to the correct company, dates, or tab.
10. Masters and opening balances
Masters are reusable records such as customers, suppliers, accounts, items, and tax rates.
10.1 Add a customer or supplier
Where: Masters > Party.
- Start a new party record.
- Enter the party's name and customer or supplier details requested by the form.
- Complete GST, PAN, address, state, and contact fields as applicable.
- Check for an existing record for the same party.
- Save and select this record in future transactions.
10.2 Manage accounts
Where: Masters > Accounts or Chart of Accounts in Pro mode.
- Search for the account before creating a new one.
- Create or open the required account.

10.4 Manage TDS payees
Where: Masters > TDS Payees.

If an import already created the opening balances, do not enter them a second time.

- Focus the relevant account or master-selection field.
- Use its create action or Alt+C where supported.
- Complete the new master form and save.
- Select the new record and continue the voucher.
10.8 Set party payment terms and credit limits
- Open the customer or supplier in Masters > Party.
- Review Party Type, Payment Terms (days), and Credit Limit (INR).
- Enter the intended values with the party's PAN, GSTIN, and contact information.
- Save and check future transaction details. A saved credit limit should not be treated as proof that every workflow enforces a credit block.
10.9 Edit, deactivate, or delete master records
- Search for the record, enabling Show inactive where available.
- Use Edit to correct details without creating a duplicate master.
- If removing a record, read whether the action is Deactivate or Delete and confirm the intended record.
- If the system blocks removal because the record is in use or protected, retain it and correct its details through permitted actions.
- Refresh and inspect its status. System accounts and global rates may be protected from editing or deletion.
10.10 Maintain detailed account classification
- Open the account form.
- Review Account Code, Account Name, Account Type, Normal Balance, and Parent Account.

- Enter Context Type, Context Key, Field, Value, and Rationale.
- Save and use the simulation control to inspect the effect on the example/context requested by the screen.
- Review suggestions in a real draft before applying them.

11. Ledger and account statements
11.1 Review posted entries
Where: Ledger.
- Select the period and available filters.
- Find the transaction by its date, account, narration, or reference.

12. Bank reconciliation
Bank reconciliation compares your bank statement with bank-account entries already in your books.
12.1 Import a bank statement
Where: Bank Reco.
- Select the bank account to reconcile.
- Set the From and To dates.
- Select Choose CSV and choose the bank statement file. The current Bank Reco picker accepts CSV.
- Select Import and wait for the imported-line count, duplicate notice, or error. This screen does not provide a column-mapping wizard.
- Review the refreshed statement lines and totals for the selected bank and dates. If the import reports a duplicate, inspect the existing lines before uploading again. If it fails, correct the issue reported for the file before retrying.
Choose the matching bank ledger, not a different account with a similar name.
12.2 Understand reconciliation statuses
| Status | Meaning |
|---|---|
| Bank Only | A statement transaction still needs a corresponding book entry or match. |
| Ledger Only | A book entry has no confirmed statement match in the current view. |
| Selected | A proposed match or action has been selected but still needs confirmation. |
| Matched | The match has been confirmed. |
| Excluded | The line has been excluded from the active reconciliation workflow. |
12.3 Run Auto-Match
- Load the correct bank account and period.
- Select Auto-Match.
- Open Selected to review the proposals.
- Compare amount, date, narration, and reference for each proposed pair.
- Remove or correct unsuitable selections.
- Open Batch Confirm, review the selected actions, and confirm.
Auto-Match selects suggestions for review; it does not by itself confirm every match.
12.4 Match a line manually
- Find an unmatched bank line.
- Use its matching or selection control to choose the corresponding ledger entry.
- Check the amount, transaction direction, and reference.
- Confirm the match using the action shown.
- Verify that the line moves to Matched.
12.5 Create a missing book entry
- Open a Bank Only line.
- Choose the appropriate account and select Pass Entry.
- Review the proposed voucher, including party, bank account, amounts, and taxes if relevant.
- Edit the preview where supported.
- Confirm the voucher and check its posting and reconciliation status.
Before creating an entry, look for an existing transaction with a different date or reference to avoid recording the same payment twice.
12.6 Investigate Ledger Only items
- Open Ledger Only.
- Compare each entry with the original voucher and bank statement.
- Check whether the bank processed it outside the chosen date range.
- Correct an erroneous book entry through the permitted accounting workflow, or reconcile it against the appropriate statement period.
12.7 Manage bank rules
Where: Masters > Bank Rules, or a rule suggestion in Bank Reco.
- Review the proposed rule's description and target account.
- Use Rule Simulation where offered to see affected lines.
- Check that the rule does not include unrelated transactions.
- Save or accept the rule.
- Review future matches before confirmation, and edit or disable rules that no longer apply.

- Review Bank Only, Selected, and Ledger Only for the chosen period.
- Confirm valid selections and investigate remaining differences.
- Review excluded lines if any are present.
- Check the matched summary against your statement and ledger.
- Return to Period Close when the bank review is complete.
12.9 Upload a statement through AI Capture
- Open the prompt bar's upload menu.
- Select Bank Statement (Reconciliation).
- Choose a supported statement file. This picker offers CSV, Excel, OFX, QIF, QFX, and PDF files; successful processing depends on the file's contents and the available import service.
- Review the upload result and any instructions shown.
- Open Bank Reco, select the correct account and period, and review the imported data before matching.
The prompt-bar statement uploader is a separate entry point from Bank Reco's CSV-only picker.
12.10 Request AI account suggestions for selected bank lines
- Select the unresolved bank rows you want reviewed.
- Select AI Suggest Selected.
- Review each suggested account and any New account indicator.
- Choose a different existing account or create the appropriate account where offered.
- Preview and confirm the resulting voucher only after checking it. A suggestion is not a posting.
12.11 Edit and re-preview a proposed bank voucher
- Open a bank line's voucher preview.
- Where the Editable preview is available, correct the bank account, counterparty account, narration, or transaction date.
- Select Re-preview to validate the changes.
- Review the updated journal and resolve any account-creation prompt.
- Confirm the current validated preview. An Unsaved changes message means the edits still need validation.
12.12 Create several missing vouchers together
- Select the Bank Only rows that genuinely need new entries.
- Select AI Pass Selected.
- Review the generated preview queue and its proposed accounts.
- Confirm only the valid selected previews.
- Recheck the original bank rows afterward: a row whose proposal failed may not have entered the preview queue.
- Investigate remaining rows individually before retrying the batch.
12.13 Ignore and restore a bank line
- Inspect the line and decide why it should be excluded from the active reconciliation.
- Select Ignore where offered.
- Check the Excluded view to verify the result.
- To bring it back into the workflow, open the excluded line and use Restore.
- Reconcile the restored line normally. Ignoring does not create a matching accounting entry.
12.14 Review batch-confirm results
- Open Batch Confirm and inspect the count, amounts, match type, source, and individual rows.
- Remove unwanted selections or use Deselect All to start the selection again.
- Confirm and review success and failure results.

- Check completed results before retrying failed or uncertain confirmations.
12.15 Create a bank rule from scratch
- Open Masters > Bank Rules > Add Rule.
- Enter Name, Pattern, and Pattern Type.
- Choose the voucher type and supply the target ledger, party, and bank account identifiers requested.
- Set priority and enabled status; review Auto-confirm eligible before enabling it.
- Save, simulate, and inspect the affected lines before relying on the rule.
If the form requests an identifier, use the actual existing record identifier. For a simpler starting point, use Save as Rule from a correctly reviewed bank line.
12.16 Check rule conflicts, history, and lifecycle
- Open Bank Rules and run the conflict-check action.
- Inspect overlapping rules and their target accounts or priorities.
- Edit the relevant rule and simulate again.
- Open History to inspect recorded changes.
- Disable a rule you want to retain but stop using, or use Delete and its confirmation to remove it.

- Choose the required opening date and stock location details.
- Enter or supply item quantities and values as requested by the wizard.
- Review validation issues and the opening-stock totals.
- Check the full opening-stock list, date, locations, quantities and values before submitting. The wizard warns that submitted opening balances cannot be modified.

- Select source and destination warehouses.
- Add the items and quantities requested.
- Save and use the dispatch action when the goods leave the source.

- Review the resulting units before adding more.

| Cash Book | Review cash-account movements. |
| Bank Book | Review bank-account movements. |
| Day Book | Review accounting transactions by date. |
| Sales Register | Review sales transactions for the period. |
| Purchase Register | Review purchase transactions for the period. |
| Ledger Statements | Review account opening balances, movements, and closing balances. |
| Party Ledgers | Review customer or supplier account movements. |
| Receivables Ageing | Review customer balances by age. |
| Payables Ageing | Review supplier balances by age. |
| Bills Receivable | Review outstanding customer documents. |
| Bills Payable | Review outstanding supplier documents. |
| Stock Summary | Review item stock information. |
| Inventory Valuation | Export the supported valuation section when offered; this is separate from the placeholder Inventory Valuation page. |
| TB Diff | Review differences against an imported legacy trial balance. |
The export catalogue and generated output are the authority for availability; a Manual Reports shortcut is not proof of a dedicated report tab.
14.11 Use comparative statements and display units
- Open P&L or Balance Sheet and select the current period.
- Enable the prior-year comparison and set the prior dates.
- In a compliance workspace, verify that an appropriate prior source is bound to the reporting context.
- Choose the display unit offered by the report.
- Compare like periods and units, then export the report with those settings.
14.12 Inspect Schedule III notes and sign-off from reports
- Open the report's notes or audit-trail panel where offered.
- Expand a note to inspect its current content and available versions.
- Use the generation action for supported notes, then review the generated content and figures.
- In the sign-off area, choose the correct report type and add sign-off notes.
- Sign off using the permitted action; revoke only through the explicit revoke control when further review is required.
Report sign-off, finalising a report context, locking an accounting period, and vouching sign-off are distinct actions.
15. GST and TDS workflows
These instructions explain the application's recordkeeping and review screens. A report export or accounting posting does not itself establish that a return was submitted or a government payment completed.
15.1 Prepare GSTR-1 information
- Open Reports > GSTR in Pro mode.
- Select GSTR-1 and the tax period.
- Review the sales and tax information displayed.
- Correct missing party identifiers, classifications, or transaction details through their source records.
- Refresh and use the available export controls. Current GSTR-1 JSON and Excel exports are drafts, not for filing. Documents Issued (Table 13) is not yet supported; have your accountant prepare and validate the complete return separately.
15.2 Prepare GSTR-3B information
- Open Reports > GSTR.
- Select GSTR-3B and the tax period.
- Review outward-tax and input-credit figures shown.
- Investigate differences against source transactions and ledger balances.
- Refresh and export using the available controls.
15.3 Resolve pending GST review
Where: Settings > Company Profile > Pending GST review.
- Save any changes to the company's registration details first.
- Select Refresh review, then Review holding entries if a net pending balance needs allocation.
- Review the holding movements, blockers, and account balances.
- Enter the posting date and reconciliation evidence reference.
- Allocate reviewed amounts from source entries to the appropriate treatment and destination account, completing the evidence fields and review confirmations requested.
- Preview the reclassification and approve only after checking it.
- Refresh the ledger and GST reports. If desktop approval is unavailable, follow the instruction to sync devices and approve in Company Profile on the web app.
This workflow records a reviewed reclassification in the books; it does not automatically claim credit or file a return.
15.4 Post a GST settlement
Where: GST Settlement, available through the relevant GST workflow.
- Review Current position.
- Enter Period from and Period to.
- Generate the settlement proposal using the page action.
- Review How the credit is applied, credit carried forward, and the proposed journal.
- Confirm the settlement posting when correct.
- Check the updated position, including any amount shown as settled but awaiting payment.
A settlement journal and the subsequent cash payment are separate accounting events.
15.5 Record and review TDS
- Add the payee and PAN in Masters > TDS Payees.
- Open Manual Mode > Payment and enter the voucher date, gross amount, debit account, and paying bank/cash account.
- Enable Calculate and track TDS for this payment. Select TDS payee, Payment category, and the category-specific details displayed. Enter Earlier credit date (if any) where applicable and select Valid PAN available.
- Enter Amount subject to TDS before threshold and select TDS payable account. Complete the opening-history amounts and confirmations requested, including eligible payments outside Lekka before tracking began. Enter zero where there is no earlier amount; do not count an amount again if already tracked at accrual.
- Select Calculate and apply TDS. Review the previous and current aggregate, threshold, TDS now, net payment, and any error. For rent, select Rental month and confirm the voucher covers that month or part of it.
- Select Preview (Ctrl+A) and review the gross debit, net bank/cash credit, and TDS payable credit. If you change the date, amount, or TDS facts, calculate and apply TDS again before previewing.
- Select Confirm (Ctrl+A) only after checking the preview, then inspect the saved voucher and TDS ledger. Calculation alone does not post the voucher or save the opening history.
- Record an actual TDS deposit through the appropriate payment or journal workflow and verify the liability movement separately.
The payment calculator offers contract work, professional/technical services, commission/brokerage, rent, and interest. Its scope confirmation is for resident payments where the payer must deduct and no exemption or lower/nil certificate applies. The screen excludes bundled multi-month rent and rent relating to another tax year; use a separately reviewed calculation for those cases. These are instructions for the implemented calculator, not a determination of a transaction's tax treatment.
15.6 Export supporting GST and TDS reports
- Open Import / Export > Export > GST.
- Set the reporting dates and select the relevant available section.
- Preview and download the chosen reports.
- Compare them with source vouchers and the associated tax ledgers.
| Export section | Review focus |
|---|---|
| GSTR-1 JSON | Draft outward-supply data, not for filing. Documents Issued (Table 13) is not yet supported. |
| GSTR-3B JSON | Summary return data prepared by the application. |
| HSN Summary | Classification-wise transaction information. |
| GST Sales Register | Sales-side GST records. |
| GST Purchase Register | Purchase-side GST records. |
| ITC Report | Input-tax-credit information in the books. |
| RCM Report | Reverse-charge information in the books. |
| TDS Report | Withholding records available for the selected period. |
Review exported files through your return-preparation process; downloading them is not filing a return.
15.7 Maintain registration status before GST review
- Open Company Profile and review the saved registration status and scheme.
- Update GSTIN and related effective-date or registration fields offered by the form.
- Save before refreshing Pending GST review.
- Review the resulting treatment choices and blockers.
- Complete a reviewed reclassification only after reconciling the holding balances; merely changing profile details does not automatically claim credit.
16. Period close and fixed assets
16.1 Run the close checklist
Where: Period Close.
- Select the Period end.
- Run or refresh the checklist.
- Review every PASS, WARN, FAIL, and SKIP result.
- Open the relevant records to resolve failed checks and investigate warnings.
- Refresh the checklist after corrections.
- Complete closing actions only after reviewing the remaining findings.
16.2 Post an adjustment journal
- Open the adjustment-journal tool inside Period Close.
- Enter the adjustment date and narration.
- Add balanced debit and credit lines.
- Review and confirm the adjustment.
- Refresh the close checklist and affected reports.
16.3 Add a fixed asset
Where: The depreciation tool inside Period Close.
- Open the asset-addition form.
- Enter Asset name, category if needed, purchase date, and put-to-use date.
- Enter cost and salvage value.
- Select the method and complete useful life or annual rate as applicable.
- Add notes and save the asset record.
16.4 Calculate and post depreciation
- Open the depreciation tool.
- Select the period start and end.
- Generate the depreciation preview.
- Review the assets included, skipped assets, and proposed amounts.
- Use the posting action when satisfied.
- Verify the journal and refresh financial reports.
16.5 Review closing stock
- Open the Closing Stock tool in Period Close.
- Check the date and stock information shown.
- Review the proposed closing-stock adjustment or valuation information provided by the tool.
- Complete the available confirmation action if an adjustment is required.
- Refresh the closing reports.
16.6 Save close notes and summaries
- Open the close-notes area for the selected period.
- Enter the review notes, unresolved items, and explanations.
- Use the CA or Founder view where applicable.
- Save and check that the unsaved-changes indicator clears.
- Use the close-summary assistant where available, reviewing its text before relying on it.
16.7 Soft-close or lock a period
- Complete the checklist and required adjustments.
- Review the current period state.
- Select the permitted soft-close or lock action.
- Read the confirmation carefully, including any year-end lock information.
- Confirm and check the updated period state.
Locking restricts changes to the period. Do not assume a hard lock can be undone; the permissions screen describes it as irreversible.
16.8 Understand what each period state allows
| State | Working effect shown by Period Close |
|---|---|
| Open | Normal permitted posting workflows are available. |
| Soft closed | Adjustments are the allowed postings for dates covered by the close. |
| Locked | Posting is blocked for dates covered by the lock. |
- Select the period-end chip or enter the date.
- Read the state and the Soft Close <= date or lock scope shown on the page.
- Remember that closing covers dates through the selected end date, not just the currently visible rows.
- Resolve a blocked normal posting in the correct period and permitted workflow; do not change the transaction date merely to evade a lock.
16.9 Perform a physical stock count at close
- Open Closing Stock > Stock Positions & Physical Count for the close date.
- Enter the actual counted quantity for every item included in the count.
- Use the variance-calculation action.
- Review differences and their calculated cost before applying an adjustment.
- Confirm the adjustment if correct and reload stock positions.
- Generate the closing-stock journal preview, review the lines, and post using the offered action.
- Check Journal Posted and refresh the close checklist.
Check all count fields before calculation: an empty count must not accidentally stand in for an uncounted item.
16.10 Post co-operative year-end appropriation
- Select the financial-year-end date in the co-operative workspace's Period Close.
- Review the appropriation section and enter the applicable reserve, education, unforeseen reserve, dividend, and patronage-bonus percentages offered by the form.
- Generate the preview and inspect every allocation and journal line.
- Post the reviewed appropriation through the displayed action.
- Refresh the Appropriation Statement and close checklist.
16.11 Post non-profit year-end allocations
- Open the applicable non-profit year-end section in Period Close.
- Add the required allocation rows.
- Choose the allocation type, destination account, amount, and FCRA indicator where applicable.
- Generate the preview and inspect the proposed treatment.
- Post the reviewed year-end entry and refresh the entity's reports.
16.12 Download the close pack
- Select the intended period end and refresh the checklist.
- Save review notes and complete the required review of reports and adjustments.
- Select the close-pack download action.
- Open the downloaded result and verify its company, period, and included records.
- Keep it with the other records for that close.
16.13 Handle a failed checklist or force-lock option
- Open each FAIL and investigate its linked action or underlying records.
- Correct the issue and rerun the checklist.
- If an authorised account sees Force Lock or Force Year Lock, read that it overrides checklist failure; it does not fix the failed checks.
- Use that exceptional action only after the responsible reviewer has decided to proceed and recorded the unresolved issues.
- Verify the final lock status and retain the close notes.
16.14 Maintain saved close notes
- Load notes for the selected period and choose the CA or Founder style.
- Edit and save them, checking the saved timestamp.
- Use Copy to copy the notes for sharing through your own process.
- Use Clear only when you intend to clear the editor; check and complete Save if you intend that change to become the saved notes.
17. Import, export, and Tally
Direct, automated fetching from another accounting app currently supports Tally only. Connect to running Tally through Tally Direct. For other tools, export files from the source app, then manually upload each supported file through Import / Export > Import. A file source profile does not establish a direct connection.
17.1 Import accounting data from a file
Where: Import / Export > Import.
- Export the records from the source tool in a supported layout. Select Choose File, select the exported file, then select Upload.
- For a ZIP, choose the intended member under Select file to import; uploading the archive does not commit every file in it.
- Check Format against the actual file contents, change it if needed, then select Confirm.
- In the batch details, choose Source: Tally, Busy, Zoho, or Manual / Other. These are file-source labels, not direct app connections. Set Period start, Period end, and Delta import as appropriate, then select Save Metadata.
- Select Preview. Inspect Pairs, Lines, Estimated duplicates, Unique accounts in file, rejected rows, and any unknown accounts.
- Resolve reported source or mapping issues. For a ledger-masters import, review the opening-balance choice and date before committing.
- Select Commit Ledgers for a masters profile or Commit & Post for transaction data. Preview alone does not post entries.
- Review created/matched ledger counts or inserted/skipped/error counts and any Needs Review items. Verify balances in Ledger and Reports, then repeat the upload, preview and commit for each remaining exported file.
17.2 Review import errors and mapping issues
- Open the import diagnostic, mapping report, or Needs Review area shown by the workflow.
- Inspect rejected rows and unresolved account mappings.
- Correct the source data or choose the appropriate mapping.
- Retry the relevant operation offered by the screen.
- Check completed and rejected counts before considering the import finished.
17.3 Create opening balances during import
- Preview the ledger-balance import.
- If required, select Create opening balance journal entries from ledger balances.
- Set the As of date.
- Review and confirm the import.
- Verify the opening trial balance and ensure those balances were not already entered manually.
17.4 Import directly from Tally
Where: In the Beyle Lekka desktop app, open Import / Export > Tally Direct. The browser displays a desktop-only notice for this connection.
- Open Tally with the company you want to import and keep it running with its connection available. Select the destination company in Beyle Lekka.
- Confirm Host and Port. The defaults are localhost and 9000; use the actual Tally connection settings if different. Enter Company Name (optional) when needed; leaving it empty allows detection.
- Select Test Connection and verify that Connected: names the intended source company before importing.
- Set From Date and To Date for the transaction period.
- Select Import from Tally. This single workflow fetches accounts, opening balances, stock and detailed vouchers automatically; you do not export and upload separate files for this connection. Opening balances use Tally's books-start date.
- Monitor Import Progress, including the month results, then inspect Import Results.
- If the result says Accounting entries imported; invoice and tax details need review, select View affected vouchers and review each batch. The accounting entries are already imported; do not post them again. Invoice registers and GST/TDS reports may remain incomplete for those affected vouchers until resolved.
- Compare the imported balances and stock with Tally. Existing imports are checked for duplicates, but changed or cancelled vouchers require review; vouchers missing from the source are not automatically deleted.
17.5 View historical statements
Where: Historical Statements in Pro mode.
- Open the page after a supported historical import.
- Filter by Balance Sheet, Profit & Loss, or combined BS+PL.
- Open the required statement.
- Review its period, lines, and validation information.
Historical statement imports are identified separately from live accounting entries. Do not assume an imported statement created every underlying voucher.
17.6 Import a Balance Sheet for mapping
When enabled: Import / Export > Balance Sheet, or the Balance Sheet tab in Compliance Entry.
- Open the enabled Balance Sheet import workflow and choose the input type that matches your source.
- In Import / Export > Balance Sheet, select Choose File and choose a CSV or XLSX file. Complete the source-sheet selection if requested. For a pre-mapped template, use Download Schedule III BS Template and retain its required line IDs and columns.
- Set As Of to the Balance Sheet date. Fill the optional Source and Label so reviewers can identify the statement.
- Select Import Balance Sheet. Review the resulting snapshot date, detected type, validation and any Balance Mismatch result; resolve mapping or interpretation issues before relying on the report.
- Continue to the associated report context and review the report totals. This statement-import workflow is separate from importing detailed transaction vouchers.
This workflow may be hidden. Its availability is separate from viewing historical Balance Sheets imported through Tally.
17.7 Export accounting data
Where: Import / Export > Export.
- Review the groups of data available to export.
- Set the date range.
- Select the required sections and check their displayed formats.
- Preview the export and inspect its row counts.
- Download the selection. A single file downloads directly; multiple files are bundled into a ZIP.
- Check the company and period in the downloaded result before sharing it.
17.8 Choose an import format and use a template
- Open Import and download the offered template if preparing a new source file.
- Preserve its headings and expected value types when filling it in.
- Upload the file and confirm the detected profile rather than relying only on its extension.
- Choose the matching profile if detection is incorrect.
- Preview the result before committing.
| Profile shown in Import | Intended input |
|---|---|
| Universal Workbook | Structured Excel workbook. |
| Universal Journal (CSV) | Journal data using the expected CSV layout. |
| Universal Journal (XML) | Journal data in the supported XML structure. |
| Tally DayBook (XML) | Tally-exported day-book vouchers. |
| Tally Masters (XML) | Tally-exported master records. |
| Audit Package (JSON) - Historical | Supported historical audit-package data. |
The picker accepts XLSX, XLS, CSV, JSON, XML, and ZIP; choosing an extension or a source-system name does not convert an arbitrary file into a valid profile.
17.9 Import from a ZIP and review batch details
- Upload the ZIP through Import.
- Review its listed files and select the intended file.
- Confirm the detected profile and source system for that selection.
- Set period/source metadata and save batch details where offered.
- Preview, resolve problems, and commit the intended data.
- Inspect progress, completion counts, mapping report, and diagnostics for that batch.
17.10 Resolve import suggestions individually or in bulk
- Open Needs Review and filter by category and status.
- Generate suggestions using the offered action.
- Inspect each suggested mapping and alternatives.
- Use Map account to choose an existing account, or the create-account action when a genuinely new account is required.
- For a journal resolution, review both Debit account and Credit account before confirming.
- Confirm an individual suggestion or select a reviewed group for bulk confirmation.
- Refresh pending counts. Dismiss an item or category only when you intentionally decide it requires no further action; dismissal is not a correction to an underlying wrong balance.
17.11 Retry interrupted Tally work
- Reopen Tally Direct and inspect the current job and month results.
- Distinguish completed months from empty, waiting, running or failed periods; a failed status check does not prove that the import failed.
- If Resume checking import status appears, use it to check the existing job before starting another import.
- For a failed or partial job, verify that Tally is still running with the correct company, then use Retry Failed Steps when offered.
- Inspect opening-stock counts, validation differences, any reused snapshots and invoice/tax review warnings separately.
- Compare completed balances with Tally before treating migration as finished.
17.12 Build a complete export package
- Set the export period and expand the applicable groups.
- Select the records required for the purpose of the export.
- Preview row counts and check that expected sections contain data.
- Download and inspect the files inside the ZIP when multiple sections are selected.
| Group | Sections to look for in the available catalogue |
|---|---|
| Core Data | Journal, trial balance, chart of accounts, parties, items, tax rates, opening balances, bank accounts, mappings. |
| Transactions | Sales invoices, purchase bills, receipts, payments, journals, debit notes, credit notes, stock movements, bank transactions. |
| Reports | Financial statements, ledgers, cash/bank/day books, sales/purchase registers, stock and valuation information, ageing, outstanding bills, TB Diff. |
| GST | Return JSON, HSN summary, GST registers, ITC, RCM, TDS. |
| Statutory | Schedule III, LLP Form 8, co-operative statements, trust statements as applicable. |
| Audit | Adjustments, close checklist, evidence/vouching status where offered. |
Financial/statutory statement sections display XLSX, return JSON sections display JSON, and many tabular sections display CSV. Follow the format badge on the actual selection. An export package is separate from a verified desktop database backup.
18. Schedule III and compliance workspaces
Entity prerequisite: Use the supported Schedule III presentation for the company and reporting year. LLPs, co-operatives and non-Section-8 non-profits use their separate entity-specific reports; Schedule III import is not available for those entities. Section 8 companies follow their applicable company reporting presentation. Check the company constitution and available reporting workflow before preparing an import.
Current pilot access: Schedule III changes are made in the desktop app. The web app supports viewing and export and can show: “Schedule III changes are made in the desktop app during the pilot. You can view and export here.” Changes require an eligible CA firm-owner account on desktop. Ordinary business ownership or a staff assignment alone does not grant write access; permitted reviewers can view and export existing results. Check the notice shown for your selected workspace and account.
The import, mapping-edit, source-binding, note-edit, finalisation and sign-off steps below require desktop write access. Opening Schedule III Mapping, including its Division I and Lines view where applicable, does not by itself mean you can edit. Web reviewers can open existing information and use the available report print/export actions while the permitted desktop user prepares or changes it.
18.1 Map accounts to Schedule III
Where: Schedule III in Pro mode or the client's statutory workflow.
- Open the correct company or client and reporting context. Check the access notice; use desktop with the permitted account before making changes.
- Review the selected division and the Lines, Mappings, and Unmapped areas available for that workflow.
- Select an unmapped account and inspect its balance and description.
- Choose the appropriate reporting line.
- Save and review the remaining unmapped impact.
- Generate or refresh the report and inspect totals.
18.2 Resolve unmatched trial-balance accounts
- Open the unmatched trial-balance area where shown.
- Review the imported account name and balance.
- Select the correct existing account or available mapping action.
- Save the resolution.
- Refresh the report and review the remaining unmatched items.
18.3 Start compliance-only reporting
Desktop preparation during the pilot: If Compliance Entry on the web shows the view-only notice, use the desktop application with write access to perform the import and enter-compliance steps. Use an eligible CA firm-owner account; ordinary business ownership alone does not grant write access. Existing reports remain available for web review and export.
- Open the client's Compliance Filing Only workspace.
- Go to Compliance Entry.
- On Trial Balance, choose the source. For a file, select Upload TB File, choose CSV, XLSX or XLS, complete any source-sheet selection, set As Of, then select Send to Import. PDF trial-balance upload is not currently offered by this screen.
- For direct Tally input on desktop, keep Tally running, fill Host, Port, and Company (optional), then select Test Connection. Check the detected company, set As Of, and select Import TB from Tally. Other apps require you to export and upload a file manually.
- Review validation and the resulting source. To reuse a trial-balance snapshot, paste its ID into TB Snapshot ID. If the import creates a report context, use Report Context and select that context, checking its dates, status and verification label. If the result instead offers View Historical Statement, review that result rather than assuming it is ready for Schedule III.
- Select Enter Compliance Mode for the intended source. Review mappings and reports before finalising anything. A trial-balance snapshot supplies balances for reporting; it is not a detailed voucher migration.
The Balance Sheet input tab appears only when enabled.
18.4 Manage report contexts
A report context keeps a particular reporting exercise and its source statements together.
- Open Report Context from Compliance Entry or the Schedule III context list.
- Create or select the context for the period you are preparing.
- Review the current TB, BS, or PL sources attached to it.
- Attach a prior-period source where needed for comparison.
- Use a clear label so other reviewers can identify the context.
- Check the selected reporting source before generating the report.
18.5 Review mapped, uncertain, and excluded lines
- Open the context's mapping review.
- Review Mapped, Needs review, and Excluded.
- Inspect the source detail behind each uncertain or excluded line.
- Correct the reporting classification or exclusion using the available action.
- Refresh the review counts and report totals.
18.6 Review notes and mapping history
- Open the Schedule III report's notes or audit-history control where available.
- Review supporting explanations and recorded mapping changes.
- Update editable notes with the relevant report context selected.
- Save and check the final report output.
18.7 Finalise a reporting context
- Finish mapping review and resolve validation issues.
- Confirm the current and prior source periods.
- Review the report and notes.
- Select Finalize in the report context if your role and the context's validation state permit it. If it is blocked, resolve the displayed review or verification issues first.
- Check the context status; finalised contexts are shown as read-only.
18.8 Accept mapping suggestions in bulk
- Open the applicable Schedule III mapping review and filter to the intended group.
- Inspect proposed reporting lines and source amounts.
- In Needs review, select only reviewed rows, then use Accept top for selected. This accepts each selected row's top suggestion, so check the destination for every row first.
- Inspect updated counts and any rows that remain unresolved.
- Refresh the report and investigate totals that changed unexpectedly.
18.9 Promote excluded lines back into review
- Open Excluded in the report context's mapping review.
- Inspect why the source line was excluded.
- Use the promote action for a line that should be included, or select reviewed rows and use Promote selected. Promotion returns the items to review; complete their mappings afterward.
- Complete the mapping review after promotion.
- Refresh totals and confirm the line is included appropriately.
18.10 Bind a prior-period source
- Open the report-context detail and select Bind Prior Period.
- Enter the requested Prior snapshot ID for an existing source.
- Select Doc family, Prior source, and the prior period dates.
- Select Bind and inspect the current/prior source summary.
- Regenerate or refresh the comparative report.
18.11 Switch the active compliance source
- Open the report-context list or the intended context detail.
- Select Enter Compliance for that context.
- If Switch compliance source? appears, compare the existing and proposed sources.
- Confirm only the intended source switch.
- Review report dates and source labels afterward. Renaming a context does not itself change the reporting source.
18.12 Print or export Schedule III
Viewing and export are available to permitted web reviewers during the pilot. Changes and finalisation remain with the authorised desktop writer.
- Finish the relevant mapping and validation review.
- Open the report for the correct context or company period.
- Choose the available print or export action.
- Review headings, note references, current/prior columns, display units, and totals in the result.
- Complete the relevant report sign-off or context finalisation separately if required.
18.13 Understand a read-only notice
- Check the notice in Compliance Entry, Schedule III or the report context.
- If it says changes are made in the desktop app, continue review/export on the web or open desktop to make the permitted change.
- If it says only the CA firm owner can make changes, have that owner perform the work on desktop. A staff assignment alone does not remove the pilot restriction.
- On desktop, confirm the company and reporting context before importing, editing or finalising. Follow the access actually offered to the signed-in account.
- Refresh the relevant report after the desktop work is available to your reviewing session, then verify the period, source and totals before exporting.
19. Adding staff and managing permissions
19.1 Invite a business team member
Available to: An authorised owner on a plan supporting team members, such as Plus or Max.
Where: Settings > Team & Members.
- Open the company that the person should join.
- Select Invite to open Invite Team Member.
- Enter the colleague's email address.
- Choose Staff or Owner.
- Select Send Invitation.
- Ask the colleague to open the email, sign in, and accept.
- Check that they appear in the team list after acceptance.
The invitation dialog states that invitations expire after seven days. Basic does not include team members.
19.2 Understand business roles
| Role | Typical access |
|---|---|
| Owner | Full workspace access, including team invitations and management actions. |
| Staff | Can view and post vouchers subject to the workspace's effective permissions. |
Use Permissions to inspect what a particular account can do. Staff access to one company does not imply access to every company owned by the same business account.
19.3 Manage pending invitations
- Open Settings > Team & Members as a workspace owner.
- Find Pending Invitations and check the email, role, and expiry date.
- To cancel an invitation, select its Revoke invitation trash icon and confirm.
- To replace an incorrect or expired invitation, revoke the old one where it is still listed, then use Invite to send a new invitation. This list does not have a resend button.
- Have the recipient use the latest valid invitation and check Members after acceptance.
19.4 Share a workspace join link
Where: Settings > Team & Members > Create Link, for an authorised workspace owner.
- Select Create Link to open Create Join Link.
- Set the role, maximum uses, and expiry as described below.
- Create the link, then use Copy link in the Join Links list and share it with the intended colleague.
- The colleague opens the link and follows the join process.
- Review the resulting membership in Members.
19.5 Change a role or remove a member
- Open Settings > Team & Members in the correct company as an owner.
- Find the person in Members. Your own row does not offer these controls.
- Choose Owner or Staff in their role selector; the change is submitted when you choose the role.
- To remove them instead, select Remove member and confirm the person's name in the prompt.
- Check the success message and refreshed membership list; if an error appears, the change has not been confirmed.
19.6 Delegate additional permissions
Where: Settings > Permissions.
- Review your current role and permissions.
- If you can delegate, select a Team Member.
- Select a permission from the available list.
- Add the delegation.
- Review active delegations and revoke those no longer needed.
Permission examples include importing data, managing accounts, editing company details, maintaining GST/TDS masters, changing Schedule III mappings, and closing or locking periods.
19.7 Review pending access changes
- Open the pending-access area when the application displays one.
- Check whether the invitation, role update, or removal is pending, failed, or completed.
- Follow the retry or review action provided.
- Wait for the confirmed result before assuming the person's access changed.
19.8 Set join-link limits and revoke a link
- Open Create Join Link and choose Role for new members.
- Set Max uses if the link should work only a limited number of times; the dialog says an empty value allows unlimited uses.
- Set Expires in days if needed; the dialog says an empty value gives no expiry.
- Create and copy the link to the intended recipients.
- Review the link list and revoke a link when it should no longer admit new members.
- Review existing team members separately; revoking a link is not the same as removing a member who already joined.
19.9 Accept or decline pending access
- Open the relevant workspace invitation or pending assignment in your dashboard.
- Check the inviting business/firm and offered role or access level.
- Accept the intended invitation and wait for the confirmed result.
- If a decline action is offered for an unintended invitation or assignment, use it.
- Refresh the workspace list. If acceptance fails, check expiry, sign-in identity, and plan-capacity messages.
19.10 Handle ownership restrictions
- Before removing or demoting an owner, review the remaining ownership of that company or firm.
- If the application says this is the last owner, complete the permitted ownership or transfer workflow first.
- Wait for any required acceptance.
- Retry the original membership action only after ownership is confirmed.
- Use the explicit CA ownership-transfer action for a firm; its effect differs from merely assigning staff to a client.
20. Connecting your CA
20.1 Invite a CA by email
Where: Settings > Company Profile, in the CA access area.
- Select Invite your CA.
- Choose Invite by email.
- Enter CA's email address and select Send Invite.
- The CA opens the invitation and completes acceptance.
- Check the connected advisor information in the company profile.
20.2 Connect a CA firm
- Open Invite your CA.
- Select Search CA firm.
- Use Search CA Organization to find and select the correct firm already registered on Beyle Lekka.
- Enter Client display name (optional) if useful.
- Select Send Invitation and monitor its status.
- Review the connected firm once the request is accepted.
20.3 Use advisor access
- Accept the business's advisor invitation.
- Open the advisor dashboard.
- Select the directly invited, shared, or firm-assigned workspace.
- Check the access label before working.
- Use the accounting or review tools allowed for that workspace.
20.4 Understand client access levels
| Access level | Intended scope |
|---|---|
| Read Only | Inspect the client's records without normal posting access. |
| Full | Work on the client's accounting records within effective permissions. |
| Close Only | Work within the period-close scope allowed by the assignment. |
Firm membership and access to a particular client are separate. A firm staff member may need a client assignment before that workspace appears.
20.5 Resend or remove an advisor invitation
- Open the CA access area in Company Profile.
- Inspect the pending advisor's email and status.
- Use Resend if the intended recipient needs the invitation again.
- Use the disconnect/remove action if that advisor should no longer be connected or invited.
- Review the updated access status after the request completes.
20.6 Disconnect a CA firm
- Open Company Profile and inspect the connected firm.
- Select the offered disconnect/remove action.
- Review the confirmation and confirm the intended relationship.
- Check pending access changes or sync status if the change is not yet confirmed.
- Verify the resulting client-access arrangement; do not treat disconnection as an accounting-data deletion.
20.7 Accept an advisor invitation through a firm
- Open the advisor invitation and sign in with the intended account.
- If the acceptance flow asks for a firm, choose the existing organisation you mean to use.
- If offered and appropriate, create a firm and finish its setup instead.
- Complete acceptance and inspect the resulting client connection.
- Check the assignment and access level before beginning work.
21. CA Portal and firm management
21.1 Create a CA organisation
- Select CA Pro during setup, or use the available CA organisation creation workflow.
- Enter the firm name and the requested contact, PAN, GST, and address details.
- Complete the remaining setup screens and review the information.
- Finish setup and open CA Portal.
- Review the organisation's subscription and capacity before adding clients and staff.
21.2 Use the CA dashboard
- Open CA Portal.
- Select the correct firm if you belong to more than one.
- Review available clients, pending invitations, and usage information.
- Open a client to begin work in its workspace.
- Return to the portal before switching to another client.
21.3 Add a new client
Where: CA Portal > Clients.
- Start the new-client workflow.
- Choose Full Accounting or Compliance Filing Only.
- Enter the client's name and the business details required for that workspace type.
- For full accounting, complete tax, company, bank, and books-start information as requested.
- Review and create the workspace.
- Open the client and assign the appropriate staff.
21.4 Accept a request from an existing business
- Open the pending client invitations in the portal.
- Review the business and request details.
- Accept the intended request using the available action.
- Check the client list for the connected workspace.
- Assign staff and review the access level.
21.5 Invite staff to your CA firm
Where: CA Portal > Staff.
- Select Invite Staff.
- Enter the colleague's email address.
- Choose an available role: Staff, Manager, Partner, or Owner.
- Send the invitation.
- The colleague signs in through the invitation and accepts.
- Check membership, then assign the colleague to the required clients.
The roles available to invite depend on your own authority.
21.6 Understand CA firm roles
| Role | Purpose |
|---|---|
| Owner | Manage the organisation and its ownership-level actions. |
| Partner | Broad management access; the invitation screen excludes organisation deletion and ownership transfer from this role. |
| Manager | Work on permitted client workspaces according to assignments. |
| Staff | Work on assigned clients and tasks with the access granted. |
21.7 Assign firm staff to a client
- Open the client's assignment action or its Firm Staff section in settings.
- Select a firm member who should work on that client.
- Choose Read Only, Full, or Close Only as appropriate.
- Save the assignment.
- If it shows Pending acceptance, wait for acceptance before expecting active access.
- Review, change, or remove assignments as responsibilities change.
21.8 Review client notes
- Open the client's review-notes area.
- Read existing notes before starting work.
- Add findings and explanations using the available note controls.
- Save and check the note appears on the correct client.
- Keep period-close explanations in the relevant close period as well.
21.9 Prepare statutory reports for a client
- Open CA Portal > Statutory Reports.
- Select the intended client and reporting scope.
- Continue through the available statement, mapping, or compliance workflow.
- Review source periods, unresolved items, report totals, and notes.
- Use the permitted export or finalisation action.
21.10 Manage firm settings and billing
- Open the firm's Settings as an authorised manager of the organisation.
- Open Profile to review Organization Name, GSTIN, Email, Phone, and Address.
- Open Billing & Plans for the subscription and Usage for consumption and capacity. My Account contains your personal profile and security settings, not the firm's profile.
- Save permitted changes and verify that they apply to the intended firm.
21.11 Change firm roles, remove staff, or revoke invitations
- Open CA Portal > Staff in the intended organisation.
- Use the member's role selector for a permitted role change.
- Use Remove for a membership you intend to end and confirm the person shown.
- For an unaccepted invitation, use Revoke in the pending list.
- Refresh and review client assignments and effective access after the change.
The last owner cannot be removed or demoted without resolving ownership first.
21.12 Transfer firm ownership
- Sign in as an authorised owner and open the firm's Staff page.
- Find the existing Partner who should become the owner. The transfer button is shown for another member with the Partner role; if needed, change the intended member's role to Partner first and verify that update.
- Select Transfer ownership on that partner's row.
- Review the confirmation, which states that you will become a Partner.
- Confirm and verify both roles and the refreshed firm context.
21.13 Use client shortcuts and notes
- Open the client's action menu in Clients or the CA dashboard.
- Choose the offered workspace, Trial Balance, Schedule III, export, staff-assignment, or notes action.
- Check that the destination still shows the intended client and reporting period.
- Complete the corresponding accounting or review workflow.
21.14 Terminate a client relationship
- As an authorised owner or partner, open the client's action menu.
- Choose Terminate Relationship.
- Read the confirmation and enter the required reason.
- Select Terminate and inspect the updated status.
- Confirm that the client is no longer openable through that relationship. This action ends the relationship; use the dedicated deletion workflow for any intended data deletion.
21.15 Archive a CA organisation
- Open the firm's Settings > Danger Zone and locate Archive Organization.
- Review the selected firm and the loss-of-access warning.
- Read the stated irreversible effect before confirming.
- Confirm only when the organisation should be archived.
- Verify the resulting firm/access state. The current screen does not provide a normal unarchive workflow.
21.16 Delete a CA organisation or an account that owns one
- Open the appropriate deletion section in firm or account settings.
- Complete identity verification and inspect the impact preview.
- Review every organisation, client workspace, ownership, and transfer choice shown.
- Resolve blocked ownership or required transfer acceptance before continuing.
- Export required records and read the subscription and restore-window consequences.
- Confirm the intended deletion scope and inspect the result.
21.17 Convert an eligible advisor account to CA Pro
- Use the CA upgrade/setup action offered to your account.
- Complete the firm onboarding details and review the organisation being created or selected.
- Review the available CA Pro subscription and capacity.
- Finish setup and check your existing invited workspaces and new portal access.
- Assign firm staff to clients explicitly; a subscription change does not imply every person has access to every client.
22. CA vouching
When enabled: CA Portal > Vouching. This optional module must be enabled for the installation and accessible to your CA account.
Vouching helps reviewers organise engagements, evidence, cases, and review decisions.
22.1 Create an engagement
- Open Vouching and select the client.
- Select New Engagement.
- Choose the offered engagement type, such as Annual Audit, Quarterly Review, Tax Audit, Internal Audit, Native Continuous, or Adhoc.
- Enter the name, entity information, and period dates.
- Create and open the engagement.
22.2 Review the engagement overview
- Open the engagement's Overview tab.
- Review its status, scope, and available evidence or processing controls.
- Supply source material using the upload controls offered for the engagement.
- Wait for processing and inspect any reported problems.
22.3 Review cases in the Worklist
- Open Worklist.
- Use the available filters to find the cases requiring attention.
- Open a case to inspect the transaction, evidence, and findings.
- Record the review decision and supporting explanation using the available controls.
- Save and check the updated case status.
22.4 Review accounts and unclaimed evidence
- Open Accounts to inspect cases grouped by account.
- Open the unclaimed-evidence area where available.
- Review evidence that has not been associated with a case.
- Use the supported assignment or review action to resolve it.
- Recheck the affected case and account summary.
22.5 Sign off a vouching period
- Complete the required case reviews.
- Open the period sign-off area.
- Enter the period and notes.
- Review any eligibility checks and outstanding issues.
- Sign off if your role permits it and the checks allow it.
- Check the saved sign-off status. If a correction requires revocation, use the explicit revoke action and confirmation where permitted.
22.6 Import books into an engagement
- Open the engagement's Overview and the books-import area.
- Select a supported XML, CSV, or XLSX books file.
- Start the import and wait for its result.
- Review case counts, voucher-type counts, and errors.
- Open Worklist to inspect imported cases before matching evidence.
22.7 Upload evidence and choose PDF splitting
- In Overview, choose Whole PDF when the file is one document or One per page when each page should be treated separately.
- Select evidence using the PDF, image, or ZIP picker.
- Monitor batches and chunks until they finish processing.
- Inspect failed or stuck batches before moving to matching.
- Open the evidence preview or unclaimed-evidence list to check the resulting documents.
22.8 Resume or recover an evidence upload
- Reopen Overview and review the upload-batch statuses.
- Use the resume or retry action offered for interrupted work.
- Review completed chunks before uploading the same evidence again.
- Dismiss an obsolete batch display only when appropriate; do not confuse hiding its status with deleting already processed evidence.
- Inspect ingestion results before starting matching.
22.9 Run matching and verification
- Confirm that the engagement has the intended books and evidence.
- Open Overview > Matching & cross-verification and select Run Matching. Import books first if the empty-engagement message disables the action.
- Wait for it to finish and inspect candidate/evidence counts.
- Select Run Cross-Verification and wait for its separate result.
- Inspect readiness, severity flags, partial evidence, and unevidenced cases in Worklist.
Machine matching or verification does not substitute for the review decision described below.
22.10 Filter cases and record a review decision
- Filter Worklist by Readiness, Severity, Voucher type, and Party (exact) as needed, then apply filters.
- Open the case and inspect voucher details, evidence, and flags.
- Select Review and choose Vouched, Vouched with exception, Insufficient evidence, or Not applicable.
- Enter notes explaining the decision.
- Select Apply review and verify the resulting review status.
If a link opens the worklist with an unreviewed notice, use the Review status column to find Not reviewed rows; the screen states that this link does not apply a server-side review-status filter.
22.11 Review several cases together
- Filter and inspect the relevant cases.
- Select cases that genuinely share the same decision and explanation.
- Choose Bulk review and stay within the displayed selection cap.
- Enter review status and notes, then apply.
- Refresh and verify the affected rows; resolve a selection that can no longer be found before retrying.
22.12 Confirm or reject candidate evidence
- Open a case and inspect its candidate evidence.
- View the document and compare party, date, amounts, and reference with the voucher.
- Select Confirm for a correct candidate or Reject for an incorrect one.
- Review the updated linked-evidence area and readiness state.
- Record the overall case-review decision separately.
22.13 Link unclaimed evidence manually
- Open the case and select Link evidence.
- Choose the appropriate Evidence role, such as primary, supporting, or reference, from the offered options.
- View the unclaimed snapshot before linking it.
- Select Link as the chosen role.
- Review the linked evidence and resolve any message about an existing primary link or evidence belonging to another engagement.
22.14 Dismiss a reviewed flag
- Open the flagged case and inspect the issue and evidence.
- Select the flag's dismiss action if your permissions allow it.
- Enter the required reason explaining why the flag should be dismissed.
- Confirm and review the remaining flags.
- Update the case-review decision where necessary; dismissing a flag is a separate action.
22.15 Export vouching results
- Open the Overview or Accounts export area.
- Set the offered period or account scope.
- Choose PDF or Excel where available.
- Inspect engagement, client, period, cases, and review status in the downloaded result.
- Refresh the export after further evidence or review changes.
22.16 Advance or complete an engagement
- Open the engagement and select Advance status if available to your role.
- Choose the intended forward status.
- For completion, review any message listing unreviewed cases and open critical flags.
- Use View unreviewed cases or View critical flags to resolve blockers.
- Retry completion after review and confirm the new engagement status.
Completing the engagement and signing off a period are separate workflows with their own checks.
23. Company and account settings
23.1 Update company details
Where: Settings > Company Profile.
- Check the active company.
- Update permitted legal name, trade name, address, and contact fields.
- Review tax and registration details where editable.
- Save and check the success message or any pending-change status.
- Review the information on the next generated document.
23.2 Manage bank details
- Open Settings > Company Profile > Bank Accounts.
- Edit an existing account, or select Add Another Bank Account.
- Enter the bank name, Account Number, IFSC Code, and Branch. An account without a bank name is not included when the profile is saved.
- Select Default for the account to use on invoices and for auto-routing. Choosing a different default clears the previous selection.
- Select Save Changes at the bottom of Company Profile; closing an account's edit view alone does not save the profile.
- Check the success message and review the bank details on the next generated document.
23.3 Set document defaults
Where: Settings > Document Defaults.
- Set the invoice prefix, payment terms, and default invoice notes.
- Set receipt and voucher prefixes and notes as needed.
- Select Save Changes at the bottom of Document Defaults.
- Review the next generated document to confirm the intended defaults appear.
23.4 Update your profile and password
Where: Settings > My Account or Account.
- Review your name, email, and sign-in provider in Profile. CA users access My Account through their CA organisation's settings rather than a client's settings.
- Edit Name and select Save Profile. Email is displayed read-only here.
- For a password-based account, enter Current Password, New Password (at least eight characters), and Confirm New Password, then select Change Password.
- Check the success message. If a profile change is saved only on this desktop, reconnect sync to upload it.
- For an OAuth account, manage the password with the sign-in provider; the local password form is not shown.
23.5 Change appearance
- Use the theme control in the header.
- Switch between light and dark appearance.
- Use Simple or Pro separately to change navigation depth.
23.6 Manage diagnostic preferences
- Open Account settings.
- Review the web or desktop diagnostics preference shown for your application.
- Set your preference using the provided control.
- Check the displayed enabled or disabled status.
23.7 Request account deletion or restore scheduled deletion
- Open the account deletion section in Account settings.
- Read the stated effect, eligibility conditions, and confirmation requirements.
- Complete the requested confirmation only if you intend to delete the account.
- If deletion is scheduled, review the dedicated status page.
- If you change your mind and restoration is offered, use Restore Account and complete verification before the displayed deadline.
23.8 Review sessions and sign out everywhere
- Open My Account and scroll to Sessions.
- Review the devices and last-activity details shown.
- If you want to end your account's sessions, select Log Out Everywhere.
- Complete any confirmation and sign in again on the device you want to use.
23.9 Review login activity
- Open My Account and scroll to Login activity.
- Review successful and unsuccessful sign-in attempts from the last 30 days.
- Check the device, time, and other available details.
- If you need to secure the account, use the password and session controls described above.
23.10 Upload or remove your company logo
- Open Company Profile's logo area.
- Choose a supported image and review the upload result.
- Save any remaining profile changes required by the screen.
- Inspect the logo in a newly generated document.
- Use Remove Logo if you intend to stop using it, then verify the result.
23.11 Verify identity and review deletion impact
- Start the appropriate account or workspace deletion flow.
- Enter the exact account email or workspace name requested.
- Complete password verification or the email-code verification offered for your sign-in method.
- Review every workspace and CA organisation in the impact preview.
- Choose among the actions actually offered for each entity, such as deletion, preservation/disconnection, or transfer.
- Wait for required transfer acceptance, then refresh the preview if it has changed.
- Add an optional reason and read the final consequences before confirming.
The deletion dialog states that deleting an account does not issue a refund. Where deletion cancels a subscription, restoring the account does not automatically reinstate that subscription. Use the actual deadline shown for a scheduled restore; an immediate deletion has no restore window.
23.12 Read the privacy policy
- Open the Privacy Policy link offered on the authentication or application screen.
- Review the policy before deciding how to use the service.
- Return to Account settings for the diagnostic preferences available to you.
24. Desktop sync, offline access, and backups
These workflows apply to the desktop application. Open Settings > Sync & backups. Browser users see an explanation instead of local backup controls. External backup and restore require workspace-owner or CA organisation management access.
24.1 Connect cloud sync
- Open Settings > Sync & backups > Cloud sync.
- Select the connect action.
- Sign in to the intended cloud account using email/password or Google where offered.
- Wait for the connection and initial sync.
- Review Companies & sync details and the health status.
24.2 Check sync health
- Open the desktop sync status or Settings sync section.
- Review pending changes, pending files, failed files, and blocked changes.
- Open Review or Notifications for issues requiring action.
- Use the offered retry or resolution control.
- Wait for the updated status before expecting changes on another device.
24.3 Work offline and refresh access
- Connect while online and confirm that the relevant company data and offline access are available.
- While offline, use the local operations allowed by the application.
- Reconnect to sync changes and complete operations requiring cloud access.
- After a subscription change, use Devices & offline access > Update offline access if required.
- Sign in and confirm the updated access status.
Offline access lasts up to 30 days after online verification and can end sooner when the subscription expires. Reconnect to refresh access; expired offline access becomes read-only. Cloud-dependent features still need internet. Offline access does not make every feature available offline. AI requests, checkout, and other cloud-dependent actions still need connectivity.
24.4 Manage connected devices
- Open Devices & offline access.
- Review the listed devices.
- Identify an old device you no longer use.
- Use Disconnect where permitted and confirm the change.
24.5 Create an external backup
Where: Settings > Sync & backups on desktop.
- Open External backups. A backup contains the local SQLite database across company and client workspaces, not only the open company. Separately stored document files are not included in the database snapshot. Preserve those files separately and verify cloud uploads where applicable before relying on recovery from device loss.
- Select Choose folder and choose the backup destination.
- Select Back up now.
- Wait for completion.
- Check that the backup appears under Verified snapshots.
24.6 Restore a backup
- Open Settings > Sync & backups on desktop.
- Review the verified snapshots and select the intended backup.
- Select Restore.
- Read the confirmation: the backup is checked against this app version, the current database is kept locally for rollback, and the app restarts afterward.
- Check the backup date and intended recovery point, then confirm the restore.
- After the restart, verify the restored companies and records and review sync status before continuing work.
24.7 Install a desktop update
- Review the update banner when one appears.
- Save the work currently open.
- Follow the download or restart action offered by the banner.
- Reopen the app and check the company and sync status.
24.8 Resolve a sync conflict
- Open the conflict notification from the bell or Notifications.
- Select Compare and inspect the local and cloud field values.
- Select Keep mine only if the offered action matches your intended local version.
- Select Use cloud version if the cloud record should replace your unaccepted local version.
- For an already-applied warning, use Dismiss where that is the offered action.
- Wait for the resolution and check the record and sync status again.
The available actions depend on the conflict type. A conflict about existence or ordering may have no field-level differences to display.
24.9 Recover a rejected firm-profile edit
- Open the saved/rejected-edit area shown in firm settings or sync review.
- Select Review saved edit.
- Read the rejection reason and the saved values.
- Select Retry saved edit after resolving access or validation issues if you still want those values applied.
- Select Discard draft if you want to remove only the rejected draft and retain current cloud data.
- Check the result. The dialog warns that retrying may replace newer cloud values; resume sync first if retry is disabled.
24.10 Review pending account and access operations
- Open Cloud sync and inspect pending account changes, pending access commands, files, and downloads separately.
- Open the relevant pending-change/review area.
- Follow the offered retry or reconnect action for the specific failure.
- Check the confirmed membership, company profile, or billing state afterward.
- Treat a queued local invitation, removal, or subscription display update as pending until the shared state is confirmed.
24.11 Reconnect an older local account
- Read the message that older local changes need account verification.
- Select Reconnect and sign in to the intended cloud account.
- Review the resulting company and sync state.
- Resolve any remaining conflicts or failed files through their own controls.
- Confirm expected records on both sides before continuing a migration or device change.
25. Notifications, audit history, learning, and feedback
25.1 Read notifications
- Open the bell icon or Notifications.
- Review invitations, pending actions, and status messages relevant to your account.
- Open the linked record when action is required.
- Use the read-state controls available on the page.
CA and advisor accounts have notification views appropriate to those roles.
25.2 Review the audit log
Where: Audit Log in Pro mode, with the required access.
- Open the audit browser.
- Set From, To, Action, and Entity as needed, then select Apply. The current filter bar does not include an actor selector.
- Inspect the event associated with the record you are investigating.
- Compare it with the current voucher or account details.
25.3 Review learning analytics
Where: Learning in Pro mode, where permitted.
- Open the analytics page.
- Select the available period or filters.
- Review the correction and suggestion information shown.
- Use the findings to identify recurring data-entry or matching issues.
- Continue reviewing individual AI previews before posting them.
25.4 Send feedback
- Open Feedback.
- Choose the relevant category or type if offered.
- Describe what you were doing, what happened, and what you expected.
- Include a useful record reference and the affected feature.
- Submit using the page's feedback action.
25.5 Inspect and classify learning corrections
- Open Learning and filter by correction type, review status, and From/To dates.
- Open a row's Correction Details.
- Review the original and corrected information offered by the screen.
- If you are authorised to classify corrections, select the appropriate displayed status: Verified, Ignored, Eval Set, or Fine-tune Set.
- Save and inspect the updated status; use the export action to download the selected correction records.
Those labels organise correction records. Marking one does not itself demonstrate that a model was retrained or that a posted voucher was changed.
25.6 Filter and navigate the audit browser
- Set From, To, Action, and Entity, then select Apply.
- Review events and move through result pages where necessary.
- Clear filters if the expected event is not visible.
- Refresh after an action whose recorded history you want to inspect.
- Compare the event with the source record and its current state.
26. Suggested daily and monthly routines
26.1 Daily bookkeeping
- Open the correct company and review Dashboard tasks.
- Capture new invoices or enter manual vouchers.
- Review and confirm drafts.
- Record receipts, payments, and invoice allocations.
- Update goods receipts, dispatches, and returns if you manage stock.
- Check Ledger for the day's entries.
- On desktop, review sync status before finishing.
26.2 Weekly review
- Import the latest bank CSV and reconcile it.
- Investigate remaining Bank Only and Ledger Only items.
- Review overdue customer and supplier balances.
- Check stock levels, ageing, and pending adjustments.
- Resolve pending invitations and review notes.
26.3 Month-end close
- Finish transaction entry and check imports.
- Complete the bank reconciliation review.
- Review GST information, TDS balances, and outstanding allocations.
- Review stock and depreciation.
- Check Trial Balance, P&L, and Balance Sheet for the same period.
- Run Period Close checks and resolve findings.
- Save review notes and obtain the required internal review.
- Soft-close or lock only when ready.
- Export the required records and create a desktop backup if applicable.
27. Common questions and troubleshooting
| Question or problem | What to do |
|---|---|
| I cannot see Inventory or Schedule III. | Switch to Pro, then check your role and workspace type. Some features also depend on installation settings. |
| I cannot add staff. | Basic has no team members. On Plus, Max, or CA Pro, check your management permission and plan capacity. |
| My colleague accepted but cannot see a client. | For CA staff, check the client assignment and whether acceptance is pending. For business staff, check membership in that specific company. |
| An invitation does not work. | Check the intended sign-in account, invitation status, and expiry; ask the owner to use the available resend or new-invitation action. |
| AI Capture asks another question. | Supply the missing party, item, account, invoice, or transaction detail in the same conversation. |
| I uploaded a bill but cannot find a ledger entry. | Check whether extraction is still processing or the preview still needs confirmation. |
| Auto-Match ran but items are not Matched. | Review the Selected list and complete Batch Confirm. |
| My bank statement will not upload. | The Bank Reco screen currently accepts CSV. Check that you selected the correct bank account and a suitable bank export. |
| A transaction looks duplicated. | Compare references and posting status before confirming again; check import duplicate warnings and prior uploads. |
| A voucher will not save. | Read validation messages; check mandatory fields, balanced lines, access permissions, and period locks. |
| Stock becomes negative or movement is blocked. | Check the item, unit, warehouse, quantity, and negative-stock policy. Verify earlier receipts were confirmed. |
| Recurring drafts are missing from Ledger. | Generated drafts still require the applicable review and posting workflow. |
| Report totals look wrong. | Check company, period, reporting source, opening balances, postings, and unresolved mappings. |
| The Valuation page has no report. | The dedicated Inventory Valuation page is currently a placeholder. |
| Tally Direct cannot connect. | Check Tally is available, the correct company is open, and the host/port match the connection settings. Browser access may not be enabled. |
| I cannot edit a reporting context. | Check whether it has been finalised and marked read-only. |
| Payment succeeded but desktop shows the old plan. | Check the cloud confirmation and local sync status before paying again. |
| I cannot use a cloud feature offline. | Reconnect and refresh offline access if needed; local access does not include every cloud operation. |
| I cannot find CA Vouching. | It is an optional feature and may not be enabled for the installation. |

29.3 Know the explicitly limited or conditional areas
| Area | Current guide boundary |
|---|---|
| Inventory Valuation page | A placeholder. The export catalogue's valuation section is a separate workflow. |
| Balance Sheet input for Schedule III | Shown only when enabled. Historical statement viewing is separate. |
| CA Vouching | Optional and permission-controlled. |
| Tally Direct in the browser | Installation-dependent; desktop connectivity is the main documented path. |
| Offline use | Local permitted actions can work; cloud-dependent features still require a connection. |
| Plan changes | The normal customer change screen offers upgrades, not downgrades. |
| Prices, trial duration, budgets, seats, companies | Use the live plan/checkout values rather than a hard-coded amount in this manual. |
| Report export and tax settlement | Prepare records or post accounting entries; do not prove portal filing or government payment. |
| Manual report shortcut cards | Some open the common Reports area rather than a dedicated report tab. |
| Asset disposal | This guide does not claim a dedicated disposal screen; the reviewed depreciation screen provides asset creation, preview, and posting. |
| Production material return | A cancellation may require returned materials; this guide does not invent a button absent from your current screens. |
| Backend-only or future functions | A planned feature or internal service is not a customer workflow unless an accessible screen exposes it. |
30. Complete worked workflows
The examples below describe an order of work, not mandatory tax rates or accounting classifications. Use your actual source documents and the reviewed treatment in the application.
30.1 Start a new service business on Basic
- Register, verify the account, and select Basic.
- Set up the business as Services with its actual constitution and registration details.
- Complete the profile and bank details.
- Add a customer and review document defaults.
- Record a service sale using AI Capture or Sales voucher and confirm it.
- Check the invoice and customer ledger.
- Record the customer's receipt and allocate it to the invoice where offered.
- Import the bank CSV and match the receipt to the statement.
- Check P&L, Trial Balance, and the customer statement.
- Review Billing and Usage as part of the ongoing account routine.
30.2 Start a trading business with staff on Plus
- Set up Plus for the trading business.
- Create units, warehouse, items, suppliers, and customers.
- Enter existing ledger and stock opening balances once, if applicable.
- Invite Staff and grant any additional responsibilities they need.
- Record the supplier bill and the relevant goods receipt, checking their linkage and avoiding duplicate stock posting.
- Record a sale and the relevant dispatch/delivery workflow.
- Record and allocate supplier payments and customer receipts.
- Reconcile the bank and inspect stock position.
- Have the owner or authorised reviewer complete period-close checks.
30.3 Manage multiple businesses on Max
- Select Max and review the displayed company and staff limits.
- Create separate workspaces for each business.
- Set company-specific tax details, bank accounts, documents, parties, and opening balances.
- Invite the appropriate team to each workspace.
- Check the active company before each upload, transaction, report, or import.
- Review billing and overall account identity at account level.
- Close and export each company's books separately for its correct period.
30.4 Complete a sale, collection, and customer return
- Create and confirm the sale for the correct customer and items.
- Complete the linked dispatch workflow if used, ensuring the same stock issue is not posted twice.
- Record a received payment and allocate it to the invoice.
- Match the bank receipt to the statement.
- If goods are returned, start the return against the original invoice.
- Inspect the returned items, enter accepted/rejected quantities, and accept the eligible return.
- Review the linked credit note and customer balance.
- If a refund is actually paid, record that payment as its own transaction and reconcile it.
- Review the final customer statement, stock quantity, and tax report impact.
30.5 Complete a purchase, payment, and supplier return
- Capture or enter the supplier invoice.
- Review and confirm the bill.
- Complete the relevant stock receipt, checking the invoice linkage.
- Record the supplier payment, including any reviewed withholding treatment, and allocate it where supported.
- Reconcile the bank payment.
- For goods returned to the supplier, create and confirm the purchase return against the original bill.
- Inspect stock and the linked debit note.
- Record any actual refund or subsequent settlement separately.
- Check the supplier statement and closing stock position.
30.6 Complete a manufacturing cycle
- Create raw-material and finished-good items and their units/warehouses.
- Record available raw-material stock.
- Create a BOM, check components, and activate it.
- Create a production order for the correct BOM version and planned quantity.
- Review availability, release the order, and start production.
- Issue actual materials and record finished goods/scrap received.
- Review progress, material balance, and cost summary.
- Complete the order after output has been received.
- Verify finished-goods stock before sale or dispatch.
30.7 Move existing books from another system
- Decide the cutover/books-start date and the source of truth for each period.
- For Tally, keep the source company open in Tally, then use the desktop app's Import / Export > Tally Direct. Test the connection, choose the transaction dates and select Import from Tally to fetch records automatically.
- For any other tool, export the required records first. In Import / Export > Import, manually upload each supported file, confirm its format, save source/period metadata and inspect Preview before selecting Commit Ledgers or Commit & Post. A source label such as Busy or Zoho does not connect to that app.
- Check opening balances against the cutover date and avoid importing balances that were already entered manually. Review duplicate estimates for file imports and the opening-balance results for Tally Direct.
- Resolve import review items and retry only failed work after inspecting successes.
- Review historical statements separately from posted transaction data.
- Compare account balances using Trial Balance and TB Diff where applicable.
- Reconcile bank and stock opening positions.
- Export the checked results and begin new transaction entry from the agreed date.
30.8 Run a CA engagement from invitation to report
- Set up the firm and its subscription.
- Connect the existing business or create the correct type of client workspace.
- Invite firm staff, wait for membership acceptance, and assign the client with the intended access level.
- Open the client and choose full-accounting work or import the compliance sources.
- Review ledger or reporting mappings, notes, and current/prior periods.
- If Vouching is enabled, create the engagement, import books, upload evidence, match, verify, and review cases.
- Resolve critical flags and review blockers.
- Prepare and check the financial/statutory reports and exports.
- Complete the distinct sign-off, context-finalisation, engagement-completion, or close actions required for this work.
- Leave explanatory client/close notes and verify that the correct firm/client remains selected when moving on.
30.9 Move to another desktop safely
- Finish or save open work and check cloud sync on the original device.
- Resolve conflicts and pending files or access changes.
- Create and verify an external backup if using that recovery method.
- Sign in on the new desktop with the intended account and allow its required data/sync setup to finish.
- Verify companies, recent vouchers, documents, and offline access before entering new work.
- If restoring a backup, follow the restore confirmation and inspect sync afterward instead of independently creating duplicate books.
- Disconnect an obsolete device through the device controls once it is no longer needed.
30.10 End a relationship or leave the service
- Identify whether you want to leave a shared company, disconnect a CA, terminate a client relationship, archive a firm, stop renewal, delete a workspace, or delete the entire account.
- Use that specific workflow; these actions have different scopes.
- Review the records and access that will remain, be transferred, or be removed.
- Export needed records and resolve ownership/transfer requirements for deletion.
- Read subscription consequences and the exact finality/restore message.
- Confirm the intended action and verify the resulting status.
