1. Who we are

Beyle Lekka is accounting software operated by Beylesys Technologies Private Limited ("we", "us", "our"). This policy covers our website, web and desktop applications, and related services.

2. Information we process

The information processed depends on the features and storage mode you choose. Accounting records kept in a local-only desktop workspace are not automatically uploaded to our cloud database.

• Account and business information: your name, email, authentication details, business profile, addresses, tax identifiers such as GSTIN or PAN, workspace memberships, and access permissions.
• Accounting information: transactions, ledgers, invoices, receipts, bank statements, inventory, reports, and documents you enter or import. These may contain personal and financial information about you, customers, suppliers, employees, or clients.
• AI and voice information: prompts, relevant accounting context, uploaded documents, extracted text, generated drafts, corrections, and audio you submit for transcription.
• Billing and support information: billing details, subscriptions, credit balances, usage charges, payment references, invoices, refunds, and messages you send us. Razorpay handles payment checkout and authorisation under its own privacy terms.
• Security and operational information: IP addresses, login and session records, browser or device details, registered devices and sync status, and service usage needed for security, reliability, and billing.
• Diagnostics: optional error reports, when enabled, and aggregate device-capacity statistics such as operating system, memory, and processor capacity. These aggregate statistics do not include user or device identifiers and are separate from registered-device records used for security and sync.

3. Why we use information

We process information to provide accounting, document extraction, reconciliation, inventory, and reporting features; manage accounts and workspace access; process payments; provide connected features, backups, and recovery; respond to support requests; send account, billing, and security notices; maintain reliability; prevent misuse; and meet legal obligations.

4. AI, voice, and sharing

Cloud AI features send relevant prompts, document text or images, and accounting context to AI providers, directly or through a hosted gateway, to interpret requests, extract information, and prepare drafts or mappings. This can occur even when your desktop books are stored locally. Providers' processing and retention depend on their service terms and configuration.

Server-based voice input sends the audio needed for your request to OpenAI for transcription. Submitted text may become part of your accounting records or conversations. Browser-native speech recognition is handled by your browser or its provider under its own privacy terms.

We share information as needed with hosting, storage, backup, network, AI, transcription, payment, email, and security service providers. We use ClamAV to scan uploaded files for malware. Authorised workspace members and accounting professionals can access information according to their permissions. We may also disclose information to comply with legal obligations or investigate fraud, misuse, or security incidents. We do not sell personal information.

If you provide information about another person, you are responsible for having the authority and any required consent to do so. Workspace administrators manage access to business records.

5. Storage and security

Local-only desktop storage: You can keep your accounting records, documents, and backups on your own device without enabling cloud database sync. These records are not uploaded to our cloud database for synchronisation unless you enable that feature. Signing in for billing does not itself enable accounting-data sync.

Cloud storage: Our cloud database is hosted in India with an Indian infrastructure provider. The web application uses hosted services. Where desktop cloud sync is available and you enable it, relevant workspace records and files are exchanged with our cloud services and authorised connected devices.

Other online features: Local-only storage applies to your accounting books, not every service request. Sign-in, billing, and service administration may still process account and usage information online. If you use cloud AI or voice transcription, the information needed for that request is sent to the providers described in section 4. Those providers may process information outside India.

We use safeguards including authentication, access controls, password hashing, and controls around changes to accounting records. No system guarantees absolute security. You are responsible for securing your devices, credentials, and exported copies.

6. Retention and deletion

We retain information as needed to provide the service and meet accounting, tax, security, dispute, and other legal requirements. Retention depends on the information and its purpose.

Account and workspace deletion follow the applicable deletion process, including any grace period shown to you. Information may be deleted, anonymised, or retained where necessary for the purposes above. Backup copies may remain until handled by backup maintenance and deletion processes.

Deleting an account or leaving a workspace does not necessarily delete business records controlled by that workspace. Disconnecting a desktop device does not erase its local data. Copies exported or backed up by users remain under their control.

7. Your choices and requests

You can choose local-only desktop storage and leave accounting-data sync disabled. Enabling cloud sync is a separate choice where that feature is available. Turning sync off later does not itself delete information already stored in the cloud; you can request deletion as described in this policy.

You can review, correct, and export information through available account and workspace controls, subject to your permissions. Accounting corrections may preserve an audit history. You may request access, correction, deletion, or withdrawal of consent by contacting us using the details below. We may verify your identity and authority before acting. For records controlled by a business or accounting firm, contact its workspace administrator or ask us to help direct your request.

Voice input is optional. You can manage microphone permissions through your browser or operating system, turn Web Diagnostics and desktop error reporting on or off in settings, and manage desktop connections where available. Optional error reporting is off unless you enable it. Turning it off does not disable essential security, billing, or operational records.

Withdrawing consent may prevent us from providing features that require the information. It does not affect earlier lawful processing or records we must retain by law.

8. Cookies and local storage

We use cookies and browser or device storage for sign-in, session security, preferences, and local application data. Clearing or blocking this storage may affect those functions. We do not use third-party advertising cookies or third-party behavioural analytics SDKs in the web or desktop app.
